About the Role:

As Stoko's Office Administrator, you can expect your roles and responsibilities to include:

 

CEO & Management Support

  • Support the CEO and Management Team with administration, calendar management, scheduling, travel arrangements, and expense reports.
  • Take ownership of meeting preparation, including creating & formatting materials, proofing content, and circulating in a timely manner.
  • Oversee incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
  • Support the CEO and People & Culture Team with corporate legal inquiries, legal items, and documentation while maintaining a high level of confidentiality and discretion.
  • Organize, file, and manage important documents, such as reports, meeting minutes, emails, and letters.
    Corporate Administration
    • Oversee all administrative activities across the organization, and act as the company's primary point of contact, responsible for directing inquiries internally and/or answering common FAQs ensuring a quick response and great service.
    • Assist with the preparation of corporate-wide events such as Team Offsites, Weekly Meetings, Birthdays and Celebrations, etc. 
    • Assist with creating weekly dashboards to give the company visibility to revenue, marketing efficiency, and after-sales metrics. 
    • Oversee and optimize facilities, utilities, telephone, and internet services.
    • Maintain Stoko's Google Drive file structure and manage corporate documentation, including but not limited to contracts, patent filings, NDAs, and account access.
    • Support the Finance Team with Accounts Payable and purchase orders.

      Qualifications/Experience:

      • 2-5 years of work experience in an administrative and/or office management role.
      • High attention to detail and excellent data entry skills.
      • Strong organizational and time management skills, and ability to prioritize.
      • Great interpersonal, communication, and customer service skills.
      • Familiarity with G-Suite and Accounts Payable.
      • Enthusiasm for lifelong learning, problem-solving, and stepping out of your comfort zone.

      Note: This role will be required to work from Stoko Headquarters, with the occasional option of remote work.
